1. Who we are and scope
Certly Ltd is responsible for personal information handled through this marketing website. This notice covers enquiries, newsletter signups, demo bookings and website visits. 2. Information and purposes
When you contact us, we receive the name, email address, optional company and message you supply. We use these to respond and follow up on your request, relying on our legitimate interest in answering enquiries or taking steps at your request before a contract, as appropriate.
If you subscribe to updates, we use your email address to send the updates you requested through Mailchimp, relying on your consent. You can unsubscribe using the link in an email or by contacting us. Sending a contact enquiry does not subscribe you to marketing.
If you follow our booking link, Calendly handles the details you submit to arrange a demo. We use booking information to arrange and provide the requested conversation, relying on our legitimate interest in answering product enquiries or taking steps at your request before a contract, as appropriate.
Our hosting provider, Vercel, processes technical request information such as IP addresses and browser details to deliver and protect the website. We use this for our legitimate interests in operating a reliable, secure website.
3. Demonstrations
Information entered in interactive demonstrations is example working data, not a saved Certly account record. Logo uploads in the branding demonstration are processed in your browser and are not uploaded by that demonstration. Avoid entering real client or confidential information.
4. Who receives information
We use Vercel for website hosting, Mailchimp for requested email updates and Calendly for demo bookings. Enquiries sent by email, including contact-form notifications, are handled through Microsoft 365. We may share information with professional advisers or public authorities where needed or legally required. Formspree receives contact-form submissions and forwards notifications to hello@certly.co.uk. This includes the contact details and message you submit, along with technical information used to process and protect the form.
5. International processing and retention
We keep closed website enquiries for up to 12 months after the enquiry is closed, in both our mailbox and Formspree. We may retain relevant information longer where needed for an ongoing customer relationship or legal obligations.
For requested email updates, we use your address while you remain subscribed. If you unsubscribe, we stop using it to send those updates. A limited record of your opt-out may be retained to avoid contacting you again. Consent and correspondence records may be kept where needed to address a complaint or meet a legal obligation.
Demo-booking details are used to arrange the meeting and any follow-up you request. We assess continued retention by whether follow-up remains open, a customer relationship continues, or a legal obligation or dispute requires the record. Technical logs are retained according to the hosting service configuration and the need to investigate security or service issues; we do not promise a fixed deletion time for all provider logs.
Some providers process information outside the UK, including in the United States. Vercel, Mailchimp and Calendly publish data-processing and international-transfer terms. Formspree states that it relies on standard contractual clauses as a processor. The provider links below explain their published transfer arrangements and safeguards. 6. Your choices and rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction or portability of your personal information, or object to processing. You may complain to the Information Commissioner’s Office. We welcome the opportunity to address concerns directly too.
7. Cookies, security and changes
See our cookie notice for browser storage and tracking. We use access controls and service-provider security measures to protect information. No internet service can promise absolute security. We will update this notice when our website practices change.
